Summary of the Position:  Provides administrative support to the Nutramax Quality Control and Quality Assurance teams.  Provides clerical and administrative support to include but not limited to data entry, data gathering and assembly, document distribution, copying, scanning, mailing, filing, calendar maintenance, management of documents, presentations, invoice processing and management, appointments, schedules, expenses, travel arrangements, receive and interact with special guests, and other duties as assigned. 

Roles and Responsibilities:

  • Support QA and QC in all administrative capacities
  • Train and be proficient in LIMS and Intelex
  • Scan into an appropriate folder and file all data control reports generated at least twice a week if not daily.
  • Scan, e-mail to requestor and file all completed Special Request reports.
  • Responsible for providing new QC lab file folders for data control report, pull competed folders when fireproof cabinet is full and box up files to take to warehouse designated area. These files need to be checked for accuracy before moving to warehouse.
  • Run a LIMS report to see what analytical samples (Special Request, Finished Product, Raw Material and Stability samples) have all testing complete and have surpassed 30 days in the lab in order to remove and dispose of samples to clear up space for new samples.
  • Maintain the QC Special Request electronic excel sheet database by transcribing special request sample information from a logbook to excel sheet.
  • Tracking the status of Special Request samples in LIMS and provide feedback on what is complete and what analyses are still pending.
  • Follow-up with contract lab testing on sample status and provide feedback on when results will be available.
  • Maintain QC retain sample program.
  • Coordinate internal and external meetings for QA and QC personnel
  • Coordinate travel reservations
  • Communicate effectively with other departments within the organization and function within a team environment.
  • Perform other assigned duties as may be required in meeting company objectives

Minimum Requirements:  A minimum of 4 years of relevant executive administrative/clerical experience.   Must be computer literate with working knowledge of MS Word, Excel and PowerPoint.  Must be able to work in a fast-paced environment, establish priorities and meet required deadlines and demands.  High level of interpersonal skills to handle sensitive and confidential situations with ability to continually demonstrate poise, tact and diplomacy is a MUST.  Strong ability to work well in a team environment.   Must possess excellent organizational skills, exhibit clear and concise oral and written communication.

Education and Experience:   The position requires a High school diploma, some college preferred.
